JMS access is organized around agency administrators managing full fertility-agency operations, client parties seeing only their own journey context, and outside participants receiving scoped access for provider, contract, profile, or task work.
| Role | Access and responsibilities |
|---|
| Admin | Operates the CRM for one agency, including intake, screening, matching, journeys, contacts, documents, workflows, reporting, communication, and agency settings. |
| Case manager | Guides assigned clients through journey milestones, tracks next steps, reviews documents and profile details, and keeps journey records current. |
| Role | Access and responsibilities |
|---|
| Intended Parent | Reviews journey status, manages profile information, completes forms and assigned tasks, reviews candidates or matches, and participates in the case lifecycle from intake through completion. |
| Gestational Carrier | Completes intake and screening, manages profile details, reviews proposed matches, completes assigned tasks, uploads required materials, and participates in medical-cycle and pregnancy journey work. |
| Egg Donor | Completes intake and screening, manages profile details, reviews proposed matches where applicable, uploads required materials, and participates in retrieval-related journey work. |
| Sperm Donor | Completes intake and screening, manages profile details, uploads required materials, and participates in sperm-donation journey work. |
| IP Representative | Acts for the Intended Parents on a specific journey, such as an agent, translator, family member, or attorney, with portal access alongside the Intended Parents. |
| Role | Access and responsibilities |
|---|
| Provider | An outside professional in the agency network, such as a clinic, attorney, escrow agency, or social worker, who participates through the journey’s provider team. |
| Clinic | An IVF clinic in the agency network with its own record, acceptance criteria, monitoring details, and provider-team participation. |
| Non-Participating User | A third person on a journey, such as an attorney, escrow agent, spouse, or partner, who has portal access mainly to sign contracts and complete assigned tasks. |
| Third-Party User | An outside professional who can self-register for limited, read-only profile browsing when the agency allows that access. |
- Agency admins can work across many cases; client users should only see and update information tied to their own journey.
- A Contact is the master person record; a User is the login identity attached to a Contact after invitation.
- Case managers are visible to clients as the assigned guide for support and next-step coordination.
- Provider, clinic, non-participating, and third-party access should be scoped to the work they are meant to perform or review.
- Admin-only tasks are separate from workflow tasks, which can be completed by clients in their portal.
- Party-specific views should not show controls that do not apply to the selected role or journey context.
